An Established Oil Company (PSC) in Indonesia is searching a qualified candidates for permanent position based company in Jakarta:Administrator
Job role:
• Support recruiters for all aspects of admin support, including CV processing, contract documentation, attachments to RMS, scanning, internal/external post etc.
• Supporting Senior Accountant on an ad-hoc basis with accounting administration, collecting and producing documents required to perform monthly payroll and invoicing as required.
• General office organisation and controlling stationery supplies.
• Provide professional and proactive administrative support and initiate systems for tracking & monitoring a variety of data.
• To be responsible for planning diaries, co-ordinating business trips, arranging internal/external meetings etc. when requested to do so.
• Preparation of sales presentations using a variety of tools and approaches as required and keep track of sales opportunities.
• Organise, prepare and attend meetings, taking an accurate record of minutes when required.
• Responsible for various other administrative tasks including collation & distribution of documents, internal mail distribution, screening & handling of telephone calls on behalf of the senior members of staff.
• To represent the senior members of staff in internal and external contacts and fulfil the role of liaison point for external visitors.
• To develop and maintain relationships across the company, both in Indonesia and globally - to be a key point of contact for knowledge and information.
• Provide cover during absence which will require acceptance of flexible work scope - within reason.
• Take the initiative for suggesting & implementing improvements across a variety of areas.
• To identify and take responsibility for ad-hoc projects and research.
Key function: Tender/bid preparation:
• Daily review of press - news paper and online media for suitable tenders/bids.
• Present suitable tenders/bids to Senior Recruitment Consultant or management in the SE Asia region for review.
• Log all enquiries in efficient soft and hard filing system.
• 1st point of contact for tender enquiries in Indonesia.
• Coordinate tender production in conjunction with Group Tender and Proposals Manager in the UK.
• Prepare responses and follow up on submissions.
• Prepare presentations and if necessary for face to face meetings after tender has been evaluated.
• Prepare monthly reports for the monthly management meetings on current tender activity and recent submission status.
• Administration associated with supporting oil & gas projects: managing visa s, work permits, flights, contracts etc.
• Subcontractor liason – first point of contact with subcontractors, this could encompass a variety of items relating to their timesheet and expenses, queries relating to accommodation, car rental, medical plan etc.
Requirement:
- Minimum Diploma degree in Business Administration, Secretary.
- Minimum 3 years of working experience.
- English ability in Speaking and Writing.
